Your Sphere Is Not a Second Job

Managing your sphere of influence shouldn’t feel like a part-time job, and for a lot of advisors it does. Three tips to fix that.

  1. Pick your system and commit. Contacts in your wallet, your phone, an Excel sheet, and the MLS means contacts that don’t exist. Rule one: if it’s not in Cloze, it’s not real. While you’re in there, connect everything, phone, email, Drive, Dropbox. The more you feed the algorithm, the more it serves you back.
  2. Tag for action, not perfection. I’ve seen advisors with 47 tags they never use again. Pick two. A primary sphere tag (call it Triple-A, SOI, whatever) for the people who get every piece of marketing you send. And an action tag (Henderson) you actually market against. You can always refine later.
  3. Build the habit, not the museum. A perfect CRM you never open is useless. The only one that matters is the one you open every day. Pick a number between 5 and 25, and tag that many people each morning. I did five minutes at breakfast, five in the afternoon. The only thing I had to give up was a couple TikToks.

Managing your sphere of influence should not feel like a second job and to a lot of advisor it does but today I've got three tips that are going to help make that way easier. Welcome to Tool Time, my name is Kyle. Let's get started. Tip number one, pick your system and commit.

It does absolutely no good if you have contacts in your wallet, on your phone, in clothes, in an excel spreadsheet, on the MLS. If they're not all in one space, they don't exist. So rule number one is if it is not in clothes, they do not exist. While you're there getting all your people into clothes, connect your phone, connect your emails, your Dropbox, your Google Drive, literally everything that you can connect to clothes, you should because the more information you provide clothes in the algorithm, the better it can be of service to you and your business.

Tip number two, tag for action, not perfection. I've seen advisors with 47 different tags on a contact who never use those tags again because they forget what they're for. Today I want you to just pick two tags. I want you to pick a primary sphere tag.

Call it primary sphere, triple A, SOI. It doesn't matter. Whatever the name is for you, that's what works. And the point of this tag is these are the people who are going to receive your marketing every single time you do something.

Whether it's an active pipe piece, a postcard, whatever, it doesn't matter. These are the people that are going to get it. The second tag you're going to choose is an action tag. These are the tags that you're going to use to market to these people.

For example, let's say you have a listing inside Henderson. You tag that listing Henderson, you have a buyer who's looking. You can go into your clothes, search for Henderson and find not just your active listings, but everybody else who lives there in case you want to do some off-market deals. This works so well because you can always refine it later.

You can change the tags, you can add tags, you can delete tags. You have complete control over your CRM. Tip number three, build the habit, not perfection. A CRM that is absolutely perfect that you never use is useless.

The only CRM that matters is the one that you open every single day. That's why we recommend picking a number between five and 25. That's the number of contacts you're going to organize every single day. The way I did it is I opened it up once in the morning at breakfast and once in the afternoon and then once in the middle when I was bored.

And I would use five to ten minutes of just tagging people, making sure I do everything on my agenda and just handling anything I need to. 10-15 minutes of time is no big deal. All I had to do was cut off all my TikToks. So your assignment this week is to pick your number between five and 25 and start tagging them.

You're going to open close every morning and you're going to open close every afternoon and you're going to do those two things. You're going to tag five people or tag 25 people if you're ambitious and you're going to do everything on your to-do list, everything on your agenda. All right, that's the plan. Thanks for coming.
