I’ll Do It Live
You all challenged me. You said there’s no way you can fully update a client in three minutes. So today I’m proving it, live, on the clock. Hawaiian shirt on, sharks and all.
- Filter to Contacts to Classify. These are the people you haven’t done anything with yet. Start here, because this is where the work actually is.
- Pick one and hit Edit. Set the first name and last name. Thirty seconds in.
- Steal the address with Forewarn. Copy their phone number, log into Forewarn (it’s yours as a Sotheby’s member, ask your OA if you don’t have it), paste the number, and it gives you their real address. Copy that back into Cloze.
- Set the basics and save. Name, email, phone, a marker or two. Hit save.
Final time on the stopwatch: a minute and thirty seconds. I don’t do math in public, but five people a day at ninety seconds each is nothing.
Your assignment this week: Right after sales meeting, do five people exactly like I just did. No Forewarn? Your OA or agent concierge will set you up.

Good morning, everybody. Great news. We all get to talk about our shirts today. So as you can tell, I'm wearing another fabulous Hawaiian shirt.
This one, in fact, has sharks on it. And today we're going to do something a little bit different. So hi, I'm Kyle. Welcome to Tool Time.
All right, so here's what we're going to do. You all have challenged me. You said there's no way you can update a client in three minutes. Well, you know what?
I'm going to prove you that I can. I'm going to do it live. Just like that one guy who got really angry about that. I can't remember his name, but he was on the TV.
Anyway. We'll do it live. OK. We'll do it live.
What I'm going to do is I'm going to press record. I'm going to start the timer. Then I'm going to watch the whole thing. All right.
So we're doing this live. Hitting record. I'm now going to start a timer. And you're all going to keep me honest, right?
OK, so here I am. I'm going to open up my clothes. First, I'm going to filter it to contacts to classify. Why am I doing that?
Because these are the people that I haven't done anything with yet. Right? So I'm going to scroll a bit. Let's see here.
Now let's do. Well, now I can't find her. There was somebody that I wanted. There we go.
Let's do this one. Shawnee Broomer. OK, this person is a vendor. I don't know anything about her.
Typically, I would just mark vendor and move on. But today we're going to pretend it's a client that I just met somewhere. So here I am looking at Shawnee. I'm going to look at my list here.
I've got a summary. I've got. Yeah, cool. That's great.
And hit edit. First, I'm going to set her first name and her last name. And then I'm going to do something super cool that is kind of creepy that everybody freaks out about. I'm going to go to the contact information.
I'm going to copy her phone number. And the reason I'm copying her phone number is because as a member of Sotheby's International Realty, you have this really cool app called Forewarn. If you don't know about it, talk to your agent concierge. Talk to your OAs.
They'll tell you all about it. So I'm going to log into my Forewarn account. I'm going to put in that phone number and we're probably going to have to blur this out. Shane's nervous over there because I'll have her actual address.
So I'm going to copy that address. I'm going to go back to my contact database and I'm going to put it in there. Okay. So now I have her name.
I have her email and I have her phone number. Great. Perfect. So now that I have all of that set up and a markers, female markers informal, I'm going to hit save.
And I'm not sure how long that took me, but let's see what it says. A minute and 30 seconds. You can do five people a day in a minute, 30 seconds each. I don't do math in public, but that's not very long.
So you can do it too. It's really, really easy. All you got to do is just put some concentrated effort in it. And like I always say, if you do somewhere between five and 25 people a day, you'll get to your magic number, whether that's 200 or 300 or whatever, you get there quick.
